General Data Protection Regulations
After four years of preparation and debate the GDPR was finally approved by the EU Parliament on 14 April 2016. It will enter in force 20 days after its publication in the EU Official Journal and will be directly application in all members states two years after this date. Enforcement date: 25 May 2018 - at which time those organizations in non-compliance will face heavy fines. The EU General Data Protection Regulation (GDPR) replaces the Data Protection Directive 95/46/EC and was designed to harmonize data privacy laws across Europe, to protect and empower all EU citizens data privacy and to reshape the way organizations across the region approach data privacy. At present we are increasing the capability of the system, to help you comply with GDPR. On this page you will find a list of new featues that have been released, and upcoming, specifically for GDPR.
GDPR Tab on records
This new tab has been created to inorporate existing and new features related to GDPR.
Process Record
In this section is the tools to process the record or details stored on the record.
Remove some or all of this record
At present this feature is not active, it's functionality will be added in the next major release. The new forget me button will allow you to anonymise parts of or all of a record, depending on what needs to be removed.
Data Potability
At present this feature is not active, it's functionality will be added in the next major release. You will be able to export the record, which will include all the data from the record. It will export to an excel file.
Field restrictions on this record
At present the 'Show All Fields' button is a temporary, this will be removed in the next major release. The 'Show All Fields' button overrides the Field Sets. , it allows the user to view all fields associated with the record.
Field Sets
The Field Sets were originally part of Data Extraction Formats, under the choose what to print section. These have been separated from the Data Extraction Formats, with an option to select which fieldd set is linked to the format. The Field Sets are used through out the system, to determine what to display or report/extract. Projects will also utilise the Field Sets, to determine what fields are required for the service. The individual user record specifies which projects the user can access. The system will look at the users available projects to display the fields required. The user will not be displayed fields that are not required by the project.
Creating/Editing Field Sets
In the menu search tool, type Field, then click on Filed Sets.
If you wish to edit an existing field set, simply click on the underlined name.
To create a new Field Set click on the 'Create Field Set' Button.
Type a name for the 'Field Set Name' box.
To find the fields you wish to add you can either list them Alphabetically or use the Filter Fields box.
Simply select the tick box by the required field to select it.
When finished click on the 'Save Details' button at the bottom of the list.
GDPR Settings
To access the GDPR Settings, type GDPR in the menu search tool, then select GDPR Settings on the menu.
