After deciding which fields and tabs you require you may wish to look at using a project.  With a project you can record key steps and dates in the tendering process.  The main thing to think about is what data you need to capture and the basic work flow required for the process.  This guide is going to look at using a project and templates to record the tender.

First of all you will require a project, go to [[Project Set Up]] for details.  Below is some screen shots as examples for the set up of each page for the project.

Many organisation may receive funding from not only local authorities but from other partner organisations.  On this tab (in the top section) select the relevant record type that you may receive funding from.  The bottom section can generally be ignored for this type of project.

===Additional Data Collection===
 
This tab may or may not be required.  If there is a need to report on or manage certain aspects of the tender, like amount applied for, amount received etc, then an extension database may be used. If this is the case see [[Project_Set_Up#Extension_Databases|Project Setup]] to determine how the extension database would be displayed, normally set to 'On the Referral screen and History tab'.

==Managing the workflow with a Referral Template==
 
The workflow or process does vary and this section will look at an example work flow.  First of all consideration needs to be given to each required process.

The funders record allows you to record details about your core funders, this would also include those that fund service users. Within the record there are various options that are available to help you keep track of funding and applications:

  • Projects - Projects can be setup to store contacts and work undertaken with funding applications with key dates for re-application. See Project Set Up for details.
  • Templates - Templates can be use to help manage the work flow of applications or tenders. See Referral Templates for full details.
  • Extension Databases - You can create custom fields to record details of core funding and any other funding types. You may wish to include items like donations or legacies, or these funders can be kept separate in a different record type if preferred.
  • Paying Invoices (requires Invoicing Module - Funders can be used for direct payments to invoice for work provided to service users.

Hardcoded features

  • Invoicing - The funder record is hardcoded to work with cost centres in the Invoicing Module. Simply use the accounts code field to activate.
  • Funded Work - With the accounts code and funder details the funders are used with Funded Work module.
  • Project Funding - Used for the Funding tab for the project funding options, including Project Funding Streams.
