The Volunteer Job Card Assignments Report displays Staff and Volunteers that have been assigned to a client via a job card using Volunteer Job Card Assignments. Complete the following search criteria to run the report:

  • Earliest Date Assigned - The start date of the period to report on based on the date of assignment.
  • Latest Date Assigned - - The end date of the period to report on based on the date of assignment.
  • Project - Specify the Project to report on the associated assignments.
  • Volunteer or Staff Member - Select to report on all or a specific person.
  • Summary or Detailed? - choice of output format (see below)
  • Incomplete or All Assignments? - choose whether to show Job Cards that are marked as Complete or not (Incomplete Job Cards - those with no date in the "Completed Date" field on the Job Card Details screen - are always shown)
  • Show Incomplete For 1 Day Only? - only relates to the Summary Report, which displays in a grid format. You can choose whether incomplete Job Cards should be shown on their start date only (Show on Start Date Only), or on their start date and every subsequent day until the end of the report (Show On All Days).


Output (Summary Report)

If "Summary Report" is selected, the output is a grid format. The volunteers are displayed down the left hand side, and the days within the specified date range are shown across the top.


Show on Start Date Only

If "Show on Start Date Only" is selected in the Show Incomplete For 1 Day Only? field, then incomplete assignments are shown only on the day they started. If a volunteer completed one Job Card and started another incomplete one on the same day, the client's name will be shown twice against that volunteer.

Show On All Days

If "Show On All Days" is selected in the Show Incomplete For 1 Day Only? field, then incomplete assignments are shown on every day they existed. Clients will only be shown once against a volunteer, even if a volunteer completed one Job Card and started another incomplete one on the same day.

Output (Detailed Report)

If "Detailed Report" is selected, the output includes information about the client and the job:

  • Job Card Number
  • Referral Number - of the Referral that each Job Card is linked to
  • Volunteer - person who the work is assigned to
  • Client Name - person who will receive the service
  • Client Details - their address
  • Client Phone - client's phone number
  • Project - of the Referral that each Job Card is linked to
  • Job Card Date - the Start Date field on the Job Card Details page
  • Description - the text from the "Job Description" field on the Job Card Details page
  • Time - total of all Volunteer Timesheet Records associated with that Job Card.
  • Complete - whether the Job Card is complete (Job Cards are regarded as complete if they have a date entered in the "Completed Date" field on the Job Card Details page)
  • Date Completed - if there is one. ("N/A" is shown for incomplete Job Cards)


The Detailed Report also shows subtotals at the bottom:

  • Number of jobs (each job card is counted)
  • Number of volunteers (each person is only counted once, even if they have more than one Job Card)
  • Total Recorded Time
