Private Notes

Location in standard build: bottom of Client Details screen, as well as other org/people types

Charitylog's Private Notes feature allows users to create text notes which are only visible to certain users or groups of users. Clicking the link at the bottom of the Client Details screen will take you to the display of Private Notes, if there are any and if you are allowed to see them.

Click "Enter New Notes" to create some.

You can now enter:

  • A title for the notes
  • The notes themselves
  • Which staff members the Notes will be available to

You can select groups and/or users as you need. If you hold down the "ctrl" button whilst clicking options in the menu, you can select several options even if they are not next to one another.

Click "Save Notes" when done. Note that (like Uploaded Documents) you will need to remember to specify that you want to have visibility of the notes (if you do) - i.e. you need to select your own usergroup or your own name in the list, in addition to anyone else, if you want to retain visibility of what you have written. If you do not select either yourself or your usergroup, you will be shown the following warning:

Once the notes are saved, you will be returned to the list of Notes, with your new one added. You can click on the name of some Notes to update them.

The creation date/time and the last update date/time are stored on the notes page.

Examples of use

Private Notes can be used to store any information that you may not want to be available to other users of the system. Examples might be -

  • Personal data which must be kept confidential from any other service
  • Information relating to a conflict of interest
  • Information relating to another service
