Contact Types are a way of categorising Contacts recorded on the Charitylog system.



Setting up Contact Types

Clicking on the menu item will bring you to the list of existing Contact Types on your system, if there are any. Click on "Create New Contact Type" to add a new one.

You can now add:

  • Name of the Contact Type to be created
  • Display Order
  • Active? (Y/N)

Click "Save Details" when done.

You will be returned to the list of Contact Types with the new one added.

To edit any existing Contact Type, click on its name.

Enabling entry of Contact Types on Contacts

Before the list of Contact Types is available for users to fill in, it must be enabled for each Project that needs to use it.

Click on Administration > Projects and Referral Entries > Project Setup:

Then click on the name of the Project you wish to enable Contact Types for.

On the Project Settings tab, there are two options:

  • Allow entry of Contact Types? - this setting governs whether the "Contact Type" drop-down box appears on the Record a Contact screen or not
  • Force entry of Contact Types? - if set to "Yes", the user will not be allowed to save the information on the Record a Contact screen until the Contact Type field has been filled in.

Reporting Outputs

Data entered against the list of Contact Types is available:

  • In the KPI Report Designer as a filter (e.g. Number of Contacts By Contact Type) and an output (e.g. Full Data Extract Of Contacts)
  • On Extra Referral Data in the "Referral-Linked Records" section of the Blue Folder Lookup
