Charitylog's Private Notes feature allows users to create text notes which are only visible to certain users or groups of users. Clicking the link at the bottom of the [[Client Details]] screen will take you to the display of Private Notes, if there are any and if you are allowed to see them.

Click "Enter New Notes" to create some.

In order to use private notes, they must first be enabled in [[Operational Rules#Allow users to create Private Notes (if enabled on their user record)|operational rules]], then also enabled for each user in their [[Users#Security|general user details]].

* A title for the notes
 
* The notes themselves
 
* Which staff members the Notes will be available to
 
 
 
You can select groups and/or users as you need. If you hold down the "ctrl" button whilst clicking options in the menu, you can select several options even if they are not next to one another.

Be aware that user groups which have the "Group can always view private notes?" option set to "Yes" under [[Group Access Rights#Group Options Tab|Group options]] will be able to see all notes regardless of whether or not the author specifically allows it. These user groups will appear in a separate box as greyed-out options when creating a new note:

Note that (like [[Uploaded Documents]]) you will need to remember to specify that you want to have visibility of the notes (if you do) - i.e. you need to select your own usergroup or your own name in the list, in addition to anyone else, if you want to retain visibility of what you have written. If you do not select either yourself or your usergroup, you will be shown the following warning:

Private Notes can be used to store any information that you may not want to be available to other users of the system. Examples might be -
 
 
 
* Personal data which must be kept confidential from any other service
 
* Information relating to a conflict of interest
 
* Information relating to another service

Existing notes will display a header that shows the person that created the notes and the person that last updated the notes.

Private Notes allows users to create text notes which are only visible to certain users or groups of users. These notes are only visible by the users/user groups selected upon creation of the note, and will not appear in reports.

In order to use private notes, they must first be enabled in operational rules, then also enabled for each user in their general user details.

Be aware that user groups which have the "Group can always view private notes?" option set to "Yes" under Group options will be able to see all notes regardless of whether or not the author specifically allows it. These user groups will appear in a separate box as greyed-out options when creating a new note:

To edit an existing note click on the 'Notes Title' or click the 'Create new note' button to add one.

Enter the following:

  • Notes Title - The title of the note which is displayed on the summary screen.
  • Notes - Details of the private information.
  • Staff Access - Which staff members the Notes will be available to. You may find a greyed out section below which will display user groups that override this section.
