Extension Database Invitations

Extension Database Invitations are links you send to your clients & service users to fill in feedback forms or assessments etc. The client does not need to log in, so there are no passwords to manage. Instead, access is limited to just that one form.

Please note, this feature is currently only available for Organisation/People Extension Databases.

Enabling

  1. On the Extension_Database_Setup page, set "Allow invitations to fill in this Extension Database?" to Yes.
  2. The user groups who want to send invitations will need "Extension Database Invitations" ticking in the Miscellaneous section of Group_Access_Rights

Sending invitation

  1. Next to wherever you normally make an Extension Database record, there is a new button "Invite Someone to Create a New Record".
  2. The start date can typically be left at today, but you can create links ahead of time for future events that will only become active at that time
  3. The expiry date is optional, but recommended.
  4. Once the link is created, click the copy icon

How the client fills in the response

  1. The client receives the link via email or text etc
  2. For multi-record Extension Databases, each time the client fills in the form it will make a new record
  3. For single-record Extension Databases, it works the same as for your normal users: the single record loads and it editable. Therefore it is very important that the Extension Database does not contain an personally-identifiable information, as anyone with the link will be able to view it until the expiration date.
