General Data Protection Regulations

After four years of preparation and debate the GDPR was finally approved by the EU Parliament on 14 April 2016. It will enter in force 20 days after its publication in the EU Official Journal and will be directly applied in all member states two years after this date. Enforcement date: 25 May 2018 - at which time those organisations in non-compliance will face heavy fines. The EU General Data Protection Regulation (GDPR) replaces the Data Protection Directive 95/46/EC and was designed to harmonise data privacy laws across Europe, to protect and empower all EU citizens data privacy and to reshape the way organisations across the region approach data privacy. At present we are increasing the capability of the system to help you comply with GDPR. On this page you will find a list of new featues that have been released, and are upcoming, specifically for GDPR.

GDPR Tab on records

This new tab has been created to inorporate existing and new features related to GDPR.

Process Record

In this section is the tools to process the record or details stored on the record.

Remove some or all of this record

Available on software version 790

  • Forget me - This feature allows the record to be anonymised based on the selected fields in the field set specified in the GDPR Settings (Field Set to use for Anonymisation). When pressed you will be able to anonymise this record (see Cleanse/Anonymise Records for full details).

Data Portability

At present this feature is not active, it's functionality will be added in the next major release. You will be able to export the record, which will include all the data from the record. It will export to an excel file.

Field restrictions on this record

At present the 'Show All Fields' button is temporary, this will be removed in the next major release. The 'Show All Fields' button overrides the Field Sets. It allows the user to view all fields associated with the record.

Consent for External Referrals

On the Record a Contact the Signposting/External referrals have now been split. The new External referrals option can be set to require consent to record that the client has be referred on to another organisation. This can also be used if you have a referral portal to another Charitylog/Charitylog system. By default the system will be set that consent is required. To change this setting please see GDPR Settings. If set to yes, each organisation record will require a Consent Rule to be assigned.

When set to use each organisation record that is required will need a Contact/Consent rule set to determine which consent is required. If a client has not consented then no external referral can be recorded. To set which consent is required to refer to the external organisation;

  • Navigate to the record of the Organisation, this is under the 'Contact Management' tab.
  • At the bottom of the Organisation Record click on the 'External Referrals Button'.
  • Select the consent rule required to enable referring to this organisation.
  • If you have a portal to another Charitylog/Crossdata system you can select that this record is used for the portal. Select the required portal in the 'Send external referrals through the portal to this other Charitylog system' drop down.
  • Click 'Save Details' to submit the changes.
