Q&A

1) Does the new update apply to Charitylog Starter? (Formally known as Charitylog Local)

Yes, all features of the June update apply to Charitylog Starter.


2) How do we get access to the test system?

Log into your Live system and go to Cog > Database Operations > Update Replica Database. Tick 'Test' and update. You can then log in by putting the word 'test' at the end of the first level username and first level password. The second level will be the same as the live.

3) We use Crossdata - do these updates apply?

Yes. Crossdata is the same software as Charitylog but is used by Local Authorities and Public Sector Organisations. Crossdata has a slightly different interface / colour scheme but all updates apply.


4) Do we have to set the email up for each user or is it system wide?

Each user will need to sync their Microsoft account with Charitylog individually if they wish to use the Emails Inbox.


5) When I click on the cog I only have Outcome and Assessments as an option.

This will be due to low level access settings. Please contact your system administrator to discuss enabling further access.


6) Will the sent email appear in reports, to show all contacts made for example?

At present, sending an email and linking it to an existing referral will not appear in reports. However, this is coming soon.


7) Can you send an email signature if you send it via Charitylog?

You will be required to input legal text in the email set up. If you are using an email template then you can design a full email footer. Standard Letter Templates

If you are sending the email directly to a client then this would need to be added within the body of the email each time.


8) Is there an option to specify which template stage the outgoing email is on?

Although the email is linked to the referral, it isn't considered a manual contact and therefore doesn't use a stage.


9) Does the Email Integration work on shared inboxes?

At present the integration does not include shared inboxes.


10) Can you show the phone integration in practice?

We intend to create some more detailed webinars on the new features soon. Please see Phone system integration for more information.


11) Can the new KPI report give full details of a client journey, from the point of assessment to its final conclusion of the client meeting?

This may not be covered by the new filters but please contact the support team to discuss any specific reporting requirements.


12) With the mail merge, are clients' contact details all Bcc'd so others can't see the details?

Yes.


13) When you sync your email, will your action list automatically sync with your outlook calendar?

Yes, provided the Microsoft calendar integration is enabled for your system. We do plan to allow users to choose between syncing their Outlook emails or syncing their Outlook calendar.


14) Are there plans to integrate SMS messages to cases, similarly to the new update to email?

Yes, we are looking at this for a future release.


15) Is test system another name for the training database?

The test and training system are separate from one another, however they are both replica copies of your live system. They are used in the same way. See more information on this here: Update Replica Databases
